Everything your practice runs on

Not a calendar with add-ons. The schedule, the chart, the invoice and the reminder are the same records, so a rescheduled visit takes its reminder with it and a completed visit arrives at the front desk ready to bill.

Scheduling that holds up

Online booking, recurring series, rooms and resources, group classes, waitlists that offer a freed slot to the right person, and reminders by email, SMS or portal.

Charting and clinical records

Notes lock when you finalize them. An amendment is appended and attributed, never written over the top. Intake forms are versioned, so a submission is pinned to the version the client actually saw.

Billing in integer cents

Money is never a float. Front-desk checkout takes any mix of tenders, packages, memberships, gift cards and account credit, and the month-end exports reconcile to the cent.

A portal clients actually use

Appointments, intake forms, invoices, receipts, statements and secure messages. They pay online through your gateway and manage their own saved card.

Communications with a paper trail

Thirteen editable message templates, reminder rules per location or practitioner, SMS opt-outs, and one triage inbox merging portal, SMS and practice email.

What a move actually involves

Your clients, practitioners and services import today through the Migration Centre, preview first, with a reconciliation report and a rollback if you need one. Appointment history, past invoices and chart notes do not come across — most clinics keep their old system read-only for a while and start clean here.

We would rather you read that sentence now than discover it in week two.

Where your data lives

The application and both databases run on a server in Toronto. Backups run nightly, are kept thirty days, and a drill restores the most recent one into a throwaway database every week to prove it still works. The date of the last verified restore is published.

We are not SOC 2 certified and we do not call ourselves HIPAA compliant. The security page says exactly what is in place and what is not.

Published plans run from $49 a month for a solo practitioner to $199 for a multi-location clinic, with Enterprise quoted on application. You are charged for the plan, not for the size of your client list, and there is nothing to sign.

What Whenaro is not ready for yet

Whenaro is ready for practices that bill their clients directly. If most of your revenue arrives through insurer billing, wait for us. Canadian insurance claim submission is built as far as it can go without provider credentials, and a clinic that depends on it should not move yet.
